The complete workflow

One request, followed from the morning list to the closed record.

The full walkthrough, including how the AI proposal is kept apart from the officer's decision and how the record is inspected afterwards, is shown in a private demonstration, under a prior NDA.

Problems and outcomes

Three things a director should be able to see without asking.

When information is spread across inboxes and systems, finding out what is happening and reconstructing decisions takes time. VERIDUCIA brings the work and its record together.

Continuity

An officer is away.

Off sick, on leave or gone. Which requests are urgent, which deadlines pass this week, which entities are exposed? Today the answer sits in a mailbox you are not copied on.

With VERIDUCIA

The portfolio is visible as it stands: urgent, overdue, at risk, each item with an owner. Work is reassigned in the system, not reconstructed from a handover.

Visibility

Where do we stand?

Filings, reviews, fees due and open matters live across systems, inboxes and memory. Answering the board or the supervisor means asking someone to compile it.

With VERIDUCIA

Every obligation has an owner and a date. Officer, team leader, compliance, legal counsel and director see the same record at their level, and can go down to the file, the document, the email.

Reconstruction

Was it decided correctly, and can we show it?

A distribution is made. The deed is in one system, the approval in an inbox, the reasoning in the memory of whoever handled it. Months later, someone reconstructs it.

With VERIDUCIA

Each decision closes with a contemporaneous record: what was considered, how AI was used, who decided, when and under what authority. The reasoning is read, not rebuilt.

Supporting functions draw on the same record: fees due, supervisory reporting and the Meeting Pack for a board or client meeting. VERIDUCIA does not replace your accounting, banking or compliance systems. It records and routes the work that depends on them.

The platform in use

Every decision leaves a record you can point to.

Who decided, when, and what follows. Written at the moment of decision, not reconstructed later.

The outcome, in brief

A director, an auditor or a board member sees the decision, the person responsible, the date and the follow-up. The detail sits behind it, one level down.

The AI proposal is recorded as a proposal. The officer's decision is recorded as the decision. They are never merged.

How it works

AI proposes. Officer decides. Platform executes. System verifies.

Four roles, kept apart by design. Only the authorised officer can make the fiduciary decision.

  1. 01

    AI proposes

Reads the file, surfaces the relevant clauses and prior decisions, and puts forward labelled options. It never holds authority.

  2. 02

    Officer decides

The authorised officer decides and writes the reasoning, under the mandate in force. Compliance review and fiduciary judgement stay human.

  3. 03

    Platform executes

Routes the decision through the authorised workflow: reviewers, follow-ups, documents generated, owners notified.

  4. 04

    System verifies

Confirms the authorised steps were followed, seals the record on close and keeps every later correction as a new entry.

“Executes” and “verifies” refer to the authorised workflow and to the controls your firm configures. They do not by themselves mean bank execution, legal correctness or a substitute for professional judgement.

Fiduciary judgement remains human. Automation routes, records and generates. Compliance review, fiduciary judgement and accounting verification remain with the people responsible for them.

Research behind the platform

Supervisory expectations on AI governance are written down: FINMA Guidance 08/2024.

Governing AI in the Trust Company

The Trustee's Evolving Standard of Care

Frédéric Sanz

Governing the tools that inform fiduciary decisions has become part of the trustee's standard of care. Eight fiduciary tests for evaluating AI systems, adopting them with proper care, and preserving the reasoning behind the decisions they inform.

VERIDUCIA is the working form of these principles.

About

Designed from fiduciary practice, for trustees.

Frédéric Sanz

Frédéric Sanz
Founder, Fiduciacorp

Frédéric spent his career inside fiduciary practice, at J.P. Morgan Private Bank, TMF Group, CSC / Intertrust and Rhone Trustees, administering trust and wealth structures across twelve jurisdictions: approving payments, running KYC, delivering board reports, closing compliance gaps. The operational problems VERIDUCIA addresses are problems he has worked through himself.

Fiduciacorp develops VERIDUCIA and the underlying work on AI-assisted fiduciary decision-making: human judgement, documented authority, contemporaneous records and verifiable integrity.

Questions

What trustees ask before a demonstration.

Does the AI decide?

No. It puts forward a labelled proposal with the sources it relied on. The authorised officer decides and writes the reasoning. The record keeps the proposal and the decision distinct, and shows which is which.

What remains the responsibility of the officer and of compliance?

Everything that is a judgement: the decision itself, its reasoning, compliance review and sign-off, and accounting verification. VERIDUCIA routes, records and generates. It does not take over those responsibilities and does not replace your compliance function.

What does it mean to correct a closed record?

A closed record is sealed. If something needs correcting, a new entry is created that refers to the original, which is preserved unchanged. An examiner sees both, in order.

How is implementation approached?

In phases agreed with your firm: an initial set of files, your mandates and review rules configured as they stand, one agreed case walked through, then a review of the record before deciding the next phase. Scope and timing are agreed at each step.

What is the scope of integrations?

VERIDUCIA works alongside your existing accounting, banking and compliance systems rather than replacing them. Which connections are in scope, and how documents and data move between systems, is defined per engagement and confirmed in writing.

Request a demonstration

Forty-five minutes. One case, one decision, one record.

  1. 1Walk a case through the workflow, from request to closed record.
  2. 2Watch where the human decision sits and how the AI proposal is kept apart from it.
  3. 3Inspect the resulting record as an auditor or supervisory body would.

All full demonstrations take place under a prior NDA. We use an illustrative case unless another scope is agreed in advance.
